Sending a quote on WhatsApp and chasing it

A quote that sits unopened in an inbox is not a lost deal, it is an unattempted one. Moving quotes to WhatsApp is the easy half. Chasing them without tripping into the marketing category is the half that needs care.

The trap. Since 9 April 2025, if you submit a template as UTILITY and Meta's review decides it is MARKETING, the template is approved as marketing rather than rejected. Nothing fails. You get an approval email. And your quote follow-up quietly starts costing roughly three times as much and becomes exposed to error 131049, the per-user marketing frequency cap that silently drops messages. So check the category your templates actually got, not the one you asked for. This is the single most common invisible cost increase on a WhatsApp account.

Four touches. After the expiry message the utility justification is gone, and continuing to chase from a utility template is exactly the behaviour that gets templates reclassified.

Why the expiry date does the work

Most UAE quotes are sent without one, which is why chasing them feels like nagging. An expiry gives you a factual event to report rather than a feeling to express. "Following up to see if you had a chance to look" is a marketing sentence wearing a service costume. "This quote expires today" is a status update.

Make the expiry real. If you extend it every time someone asks, customers learn it is not real, and you have lost the one mechanism that made the chase legitimate.

Put the number in the message

The PDF is the record; the message is what gets read. Include the headline figure in AED and whether it includes VAT in the body text. A quote message that says only "please find attached" gets opened hours later, if at all.

If your quote has options, do not attach three PDFs. Send one PDF and use the body to name the options, or send a list message — remembering that lists cap at ten rows across all sections combined.

Handle the reply properly

Any reply opens the free 24-hour window, so negotiation, revisions and questions cost nothing. That is a real change from email, where a three-round negotiation takes three days. Here it takes eleven minutes, and the revised PDF goes back inside the same free window.

Two things to instrument: warn the salesperson before the window closes, and record which objection came back. The second one, aggregated across a quarter, tells you more about your pricing than any survey.
