Sending invoices and receipts on WhatsApp in the UAE
The mistake is treating the WhatsApp message as the invoice. It is not, and it cannot be. It is the envelope. The invoice is the PDF inside it, and UAE VAT rules are specific about what that PDF has to contain.
Short answer. Send a utility template with a document header carrying the PDF. The message body is a covering note with the invoice number and amount. The tax invoice itself lives in your accounting system and must carry the mandatory VAT fields — a chat message cannot substitute for it.
What a UAE tax invoice has to contain
Under UAE VAT law a full tax invoice must show, among other things:
- The words “Tax Invoice” clearly displayed
- The supplier's name, address and TRN (Tax Registration Number)
- The recipient's name, address and TRN where they are registered
- A sequential invoice number and the date of issue
- A description of the goods or services
- Unit price, quantity, rate of VAT, and the amount payable in AED
- Where a different currency was used, the amount and the exchange rate applied
You cannot fit that into a WhatsApp body and you should not try. Attach the PDF.

Document-header templates
A WhatsApp template header can be text, image, video, or document. The document header is what makes this job work: your approved template carries the layout, and each send attaches that customer's PDF.
Two things to get right:
- Filename matters. It is what the customer sees before opening.

Category and cost

A receipt is possibly the highest-open-rate message your business sends, which is exactly why it attracts requests to bolt a promotion onto it. Resist that: it risks reclassification to marketing, and it puts a document people rely on behind a cap that can drop it silently.
The pattern that works
- Receipt immediately on payment. Amount, invoice number, PDF attached. Sent within seconds, not in a nightly batch.
- Invoice on issue for credit terms, with the due date in the body and a payment link button.
- Statement on request. If a customer replies asking for a copy, you are inside a free 24-hour window — resending the PDF costs nothing.
WhatsApp is not your system of record
Keep the authoritative invoice in your accounting system. WhatsApp is a delivery channel: message history can be lost with a device, a number can be migrated between WABAs, and message retention is not designed around a five-year records requirement. Send the PDF over WhatsApp because that is where people read it. Store it where you can produce it on demand.
